Privacy Policy

Last updated: 2026-10-26

1. Overview

This Privacy Policy explains what data FluentSub collects, how it flows through the service, and the choices you have. The short version: your audio recordings stay in your own browser unless you explicitly choose to upload one for playback, the server stores transcript text and timeline metadata, and audio and text are processed by the service categories described below only as needed to provide the transcription, translation, and related features you request.

2. Audio Recordings: Local by Default, Upload Is Your Choice

When you record a session, the audio recording is captured in your browser. It is stored locally on your device by default; it is not uploaded to our servers unless you choose to. If you clear your browser data or switch devices, locally stored recordings are not recoverable by us.

If you explicitly choose to save or upload a recording for playback (for example, cross-device or team playback), the audio file is stored on our server until you delete it, the session it belongs to is deleted, or it expires at the end of the server-copy retention window shown in the app (currently 24 hours). Uploaded recordings are subject to a per-user storage quota, playback links are token-gated, and you can delete uploaded recordings at any time from the app.

3. What Our Server Stores

  • Transcript text (source and translated) and timeline metadata (timestamps, session settings, project titles).
  • Usage records needed for metering and billing (minutes used, processing route, plan source).
  • Account identifiers linking the above to your login.
  • Feedback you send with the feedback button: your message, the type you chose, and the page, interface language, and browser it was sent from.

4. Service Providers and Data Processing

To provide live transcription, translation, optional language refinement or rewriting, requested summaries, and glossary extraction, we use service providers in the categories below. They receive only the data needed to perform their function and process it under applicable contractual terms:

  • Speech processing services — audio is streamed to produce live transcription. For some sessions a second speech processing service also transcribes the same audio so we can compare transcription quality; that transcript is stored with your session, is not shown in the Service or shared, and is deleted with the session.
  • Translation and language processing services — transcript text needed for translation, optional refinement or rewriting, or requested summaries, and text from documents you choose for glossary extraction, is processed to return those features.
  • Hosting and infrastructure services — limited account, transcript, timeline, and uploaded-recording data is processed as needed to operate and secure the Service.

A document you choose for glossary extraction is read in your browser and is never uploaded. Only the text read from it is sent for processing, and neither the file nor that text is stored on our servers.

The exact combination of service categories used depends on the feature you request and service availability. We do not send your content to unrelated AI services.

5. Account Data

An identity and authentication service processes your email address, display name, and hashed credentials so you can sign in. We never see or store your plaintext password.

6. Payments

Payments are processed by a payment processor. Card and wallet details are entered on its hosted pages and go directly to that processor; we never store card numbers. Our server stores only transaction and order identifiers, order status, and entitlement data (your plan and remaining minutes).

7. Analytics

We use a privacy-focused analytics service to count aggregate page views. It sets no advertising or cross-site cookies and does not fingerprint you across sites. No third-party advertising trackers are used.

8. Data Retention and Deletion

Transcripts and account data are kept while your account is active. You can delete individual sessions in the app. To delete your account and all associated server-side data, email support@fluentsub.com from your account address; we will complete the deletion within 30 days. Recordings in your browser are under your control and can be removed by deleting them in the app or clearing site data.

9. Contact and Changes

Data controller contact: support@fluentsub.com. We will update this policy if our data flow changes, and the "Last updated" date above will reflect it.
